Open technical meetings, relating to industry standards, academic or research projects, or managed by non-profit organisations are offered a single room, equipped with standard furniture (tables and chairs) seating up to 80 persons for a max. 3-hour timeslot, free of charge during the DATE week. If AV equipment (e.g. beamer, screen), telephone lines, poster boards, catering etc. is needed and hence ordered, this will imply additional costs.

Additional rooms for non-profit organisations and rooms for open technical meetings managed by commercial enterprises are available for hire, which implies room rental costs with prices starting from 350.00 EUR. Additional costs will incur for any AV equipment needed (e.g. beamer, screen), telephone lines, poster boards, catering etc. All costs are collected from the DATE Conference Organization K.I.T. Group on behalf of the Conference Host, EDAA, without VAT.

The following time slots are offered for open technical meetings, which must be open to all DATE attendees:

No open technical meetings may be held at other times during the DATE week.

ONLY meetings that are open to general attendees and that take place outside the main conference hours (see above) will be advertised on the DATE website and in conference publications.

Please contact the DATE Conference Organization for availability and hand in the meeting room request form, stating your preferred time and date slot, number of participants and preferred room layout.

Rental periods must always make allowances for set-up and clean-up time.
